How to Apply for KUCCPS Courses Online: A Step-by-Step Guide

The KUCCPS online student portal is open for college and university courses applications. The system will run till  22nd of February 2024. If you apply on KUCCPS to be placed for a course in a public university or one of the listed TVET institutions, you will be eligible for both sponsorship and HELB loan from the government.

Successfully placed students will receive admission instructions and guidance on applying for scholarships and loans from their respective institutions. Funding will be disbursed according to the government’s model.

Financial Aid:

  • Public Universities and Listed TVET Institutions: Applying through KUCCPS makes you eligible for both government sponsorship and HELB loans.
  • Private Universities: You will be placed but won’t qualify for government scholarships. HELB loans are still available.

Eligibility for KUCCPS Application:

  • KCSE graduates of 2023 with a mean grade of C+ and above can apply for degree programs in universities.
  • Applicants between 2000 and 2022 with a C plain and below can apply for diploma, craft certificate, or artisan courses in TVET colleges.

How to Apply for KUCCPS Courses Online

This guide will walk you through the process of applying for courses online through the KUCCPS Student Portal. Be sure to complete your application before the February 22nd, 2024 deadline!

Step 1: Login to the KUCCPS Portal

  1. Visit the KUCCPS students portal: https://students.kuccps.net
  2. Click the “Login” button.
  3. Enter your full 11-digit KCSE Index Number and the year you took your KCSE exam (e.g., 2023).
  4. For your password, use either your birth certificate number or your full KCPE Index Number as you used during KCSE registration.

Step 2: Review Your KUCCPS Cluster Points

  1. After logging in, you’ll see your KCSE results and calculated cluster points for each course category.
  2. These cluster weights are automatically generated by KUCCPS and determine your eligibility for specific courses. Zeros indicate you cannot apply to courses in those clusters.
  3. On the portal, courses under the same category are grouped in the same cluster (e.g., Law and related in cluster 1, Engineering and Technology in cluster 7).
  4. There are a total of 23 KUCCPS clusters for degree programs.

Step 3: Choose Your Programmes and Review Requirements

  1. Navigate to Programme Listing:

    • From your portal dashboard, click “Programmes” at the top.
    • You’ll see four categories: Degree, Diploma, Certificate, and Artisan Programmes.
  2. Find Your Desired Programme:

    • Choose the appropriate category based on your academic goals.
    • Use the scroll bar or search function to locate your desired cluster or course.
    • Clicking on a cluster displays all associated programmes.
  3. Select Your Specific Course:

    • Click on the course you’re interested in.
    • Verify if you meet the minimum entry requirements and subject requirements displayed on the course page.
  4. Check Eligibility (if current year cutoffs are unavailable):

    • Compare your cluster weights (highlighted in red) with the previous year’s cutoff points. This gives you an estimate of your competitiveness for current admission.

  1. Select Your Specific Course (Continued):

    • Institution Name: You can click on the institution’s abbreviation letters to reveal its full name.
  2. Note Programme Code:

    • If you’ve chosen your preferred university/college, note down the programme code displayed.
    • Alternatively, click “Add to Basket” to save it for later review.
  3. Explore More Options:

    • Return to “Programmes” to select other courses within the same or different clusters.

Tip: Remember, you can add multiple courses to your “Basket” and compare them later before finalizing your choices.

Step 4: Verify and Submit Course Applications

  1. Access Application/Revision:

    • Click the “Application/Revision” tab on your portal dashboard.
    • Important: Carefully read the instructions provided before proceeding.
  2. Review Programme Choices:

    • Verify the list of programs in your “Basket” or previously selected reflects your desired choices.
    • Double-check the accuracy of your program codes for each selection.
    • Confirm you meet the minimum entry and subject requirements for each chosen program.
  3. Pay Application Fee:

    • KUCCPS charges an application processing fee of Ksh 1,500.
    • Follow the on-screen prompts to pay ONLY when instructed by the portal.
    • Students who previously paid Ksh 500 in school only need to pay Ksh 1,000 to revise their choices.
  4. Submit Your Application:

    • Click the “Apply Now” tab once you’ve reviewed everything and paid the fee (if applicable).

Important: Remember, submitting finalizes your application, so ensure all information is accurate before proceeding. You cannot make changes afterward.

Choose wisely! Your KUCCPS course selection determines your placement, so prioritize carefully.

For Bachelor’s Degrees:

  • 1a, 1b, 1c: These should be your TOP PRIORITY courses in a similar field, but at different institutions. This increases your chances of securing a desired program even if competition is high.
  • Choices 2, 3, 4: Select other degree courses you like, even if they differ from your top choices. These act as backups if your top picks are unavailable.

For Diploma & TVET Programs:

  • 1a carries the most weight. Prioritize it!
  • Choices 2, 3, 4: Include other programs you’re interested in.

Important Tips:

  • Never list courses you’re unsure of. Remember, you could be placed in any chosen program, even if it’s not a top priority.
  • Meet the requirements! The system checks your cluster points against program cutoffs. Choose courses you qualify for.
  • Check for alternatives! If the system rejects a choice, search for similar programs with lower entry requirements in other institutions. Use the search function on the portal.
  • Consider previous year’s cutoffs (if current data is unavailable) to gauge your competitiveness.
  • Review your final choices carefully! Once you hit submit, changes are not possible.

How to Pay Your KUCCPS Application Fee Seamlessly with M-Pesa!

Here’s a clear guide on paying your KUCCPS application fee using M-Pesa:

1. Open Lipa na M-PESA Menu:

  • Start by accessing the Lipa na M-PESA menu on your phone.

2. Select Pay Bill:

  • Choose the “Pay Bill” option within the menu.

3. Enter KUCCPS Business Number:

  • Key in the KUCCPS Business Number: 820201.

4. Specify Your Account Number:

  • As the Account Number, enter your KCSE Year followed by your KCSE Index Number without any spaces. You can also find your account number in the pop-up message after submission.

5. Enter Your M-PESA PIN and Send:

  • Type in your M-PESA PIN and confirm the transaction by sending it.

6. Save Your Transaction Code:

  • Carefully note down the M-PESA transaction code displayed on your phone. Keep it safe! You’ll need it for the final step and any future application changes.

7. Submit Your Transaction Code:

  • In the pop-up message, enter the saved transaction code and hit “Submit.”

Important Reminders:

  • Pay within the deadline: Only pay after completing the application process and before the deadline. Late payments won’t be accepted.
  • One payment per application: This single payment covers both application and revision fees.
  • No second chances: Once placed in the second category of your application, you won’t be considered for the second revision.
